Kaitlian gives your business a workspace where AI agents do real work. Doing that well means the agents work with information you choose to give them. This page explains, plainly, what we keep, why we keep it, and what we will never do with it. It covers this website and the Kaitlian service, operated by Kaitlian LLC.

What we collect

  • Your account. Your name and email address, used to sign you in and reach you about your service. You sign in with your Google account or with a one-time code sent to your email. Either way, there is no Kaitlian password for us to hold.
  • Your workspace. The conversations, social profiles, websites, projects, files, schedules, and staff records you and your team create. That content exists so the agents can do their work, and it belongs to you.
  • Connections you choose. If you connect an outside account or tool so an agent can use it, we store what is needed to keep that connection working, and nothing more. Disconnecting removes it.
  • Messages sent from your own Mac. If you let an agent send text messages through a Mac you connect, those messages go out from your own account and your own number. We keep the message and who it went to, so the conversation works and you can see it in your workspace. The connection reaches only the conversations the work needs. Disconnect the Mac and the sending stops.
  • Mail from your own Mac. If you turn on Mail access in the Mac app, you choose which accounts an agent may search, read, or send from. The Mac returns email text and basic attachment details, but never the attachment itself. Every outgoing message waits for your approval and shows you its recipient, subject, and body first. Account choices stay on that Mac. Turn Mail access off, remove an account, disconnect the Mac, or take the Mac offline and the access stops.
  • What you say out loud. When you talk to an agent instead of typing, your speech is turned into text so the agent can work with it. The text becomes part of that conversation, where you can see it. We do not keep a recording of the audio.
  • Billing. Payments are handled by Stripe. We keep records of your plan and usage; we never see or store your card number.
  • Basic service records. Technical logs that keep the service healthy and secure, kept only as long as they are useful for that.
  • The waitlist. If you join the waitlist, we keep what you typed into the form so we can reach out. Nothing else, and you can ask us to remove it anytime.

How your information is used

To run Kaitlian for you. Your content is processed by our service providers so the agents can work: Anthropic provides the AI, Cloudflare provides hosting, storage, and the speech processing behind talking out loud, and Stripe handles payments. A small number of specialty providers help with narrow tasks, such as web research, media search, and publishing to the social accounts you connect. Each receives only what its part of the job requires. Connected accounts you add are held in dedicated credential storage and used only to do the work you asked for. We do not use your information for advertising, and we do not combine it with data brokers or outside profiles.

Where a connection uses a Google account, what we take and what we do with it is set out in full below.

When you connect a Google account

Connecting Google is optional. It lets your agents work in Google Calendar, Google Tasks, and Google Docs, Sheets, and Slides, and pass files to and from Google Drive. You can disconnect at any time.

The Google connection does not include Gmail. We do not ask Google for Gmail permission and cannot reach Gmail through that connection. Separately, if you connect a Mac, turn on Mail access there, and select a Gmail account that is already in Apple Mail, an agent can search and read that account while the Mac is online. If you also turn on sending, the agent can prepare mail from that account, but every message waits for your approval before it leaves your Mac. Your agents also have their own email addresses for mail sent to them.

What we access. Only what the permissions you approve allow, and only when you or a teammate asks for something that needs it:

  • Your Google account's email address, name, and profile picture, so your workspace can show you which account is connected.
  • Your calendars and the events on them, to answer questions about your schedule and to create, change, or cancel the events you ask for.
  • Your task lists and the tasks on them, to read them and keep them current on your request.
  • The contents of the Google Docs, Sheets, and Slides you ask an agent to read, create, or edit.
  • Only the Drive files you create through Kaitlian or open with it yourself. Kaitlian cannot browse, search, or list the rest of your Drive.

Through this Google connection, we do not reach your Gmail, your contacts, your photos, or anything else in your Google account.

How we use it. Only to carry out the request you made and to show you the result in your workspace. Never for advertising, never to build a profile of you, and never combined with data brokers or outside sources. The same is true of any summarized or anonymized form of it.

Who else sees it. Only the providers that make the work possible, and only the part each one needs: Anthropic, whose Claude does the thinking, and Cloudflare, which hosts your workspace and stores your content. Anthropic's commercial terms do not permit training on what is sent through its service, so information from your Google account is never used to develop, improve, or train AI, at Anthropic or here. We never sell it, and we never pass it to advertisers or data brokers.

How it is protected. The keys to your Google connection are held in dedicated secure storage, apart from your workspace content. The agents never see them, and neither do the websites they build: the connection is made on their behalf, not handed to them. Everything moves over encrypted connections, and one workspace can never reach another's.

How long we keep it, and how to remove it. We hold information from Google only as long as the work needs it. What an agent read in order to answer you stays in that conversation so you can see it; anything kept briefly to make the work fast is short-lived. Disconnecting Google deletes the connection's keys at once and stops all access, and you can also remove Kaitlian from your Google account at myaccount.google.com/permissions. Close your workspace and its content, including anything drawn from Google, is deleted after a short wind-down. Write to us and we will delete it sooner.

Kaitlian's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Information received from Google Workspace APIs is never used to develop, improve, or train AI, and is never passed to any other service that would use it that way.

What we never do

  • We never sell your information, and we never share it for advertising.
  • We never read your workspace out of curiosity. Access happens only to support you when you ask, to keep the service safe, or when the law requires it.
  • Your content is not used to train AI. Our AI provider processes it to do your work, under terms that do not permit training on it.

Where it lives, and for how long

Kaitlian runs on infrastructure in the United States, so if you use it from somewhere else, your information is processed here. We keep information while your workspace is open and for a reasonable wind-down period after it closes, then delete it, except for records the law makes us hold, like billing history.

Keeping it safe

Workspaces are isolated from one another, connections to outside tools are held in dedicated secure storage, and everything moves over encrypted connections. No system is perfect, but the service is built so that the sensitive parts are the best-protected parts. If a security problem ever puts your information at real risk, we will tell you promptly and plainly, along with what we are doing about it.

Your rights and choices

These are yours wherever you live, California included, and using them never changes how we treat you:

  • See and take your content. It is yours. Ask and we will help you export it, and we will tell you what we hold about you.
  • Correct. If something we hold about you is wrong, tell us and we will fix it.
  • Delete. Close your workspace and its content is removed from the service. Ask us to delete your waitlist entry or account records and we will, unless the law makes us keep a specific record.
  • AI memory. Each person can turn their agents' long-term memory off, or clear it, in their own settings.
  • Nothing to opt out of. We do not sell or share personal information for advertising, so there is no "do not sell" switch to flip; the answer is already no.

To use any of these, write to [email protected] from the email on your account. If you are somewhere that gives you the right to complain to a privacy regulator, you can, though we would rather hear from you first.

The small print

Kaitlian is a business tool for adults and is not directed at children; we do not knowingly collect information from anyone under 18, and we delete it if we learn we have. The workspace uses sign-in cookies and on-device preferences to work; there are no advertising trackers, here or in the product. Websites the agents build for you are your sites, and what they collect is between you and your visitors. If this page changes in a way that matters, workspace admins hear about it directly, and the date above always tells you when it last moved.
